1. About this event
An Evening to Reconnect is an independent gathering of former staff members and is organised by a volunteer volunteer organising committee. It is not an official website of, and is not affiliated with, endorsed by or operated by any bank, company or other organisation, and no corporate logo or branding of any employer is used on this site.
The bank account shown during registration belongs to the committee member handling registration payments. The bank name (for example “HSBC Indonesia”) appears only as the recipient bank in the payment instructions.
2. Registration and confirmation
- Registration is personal and non-transferable. Each attendee receives exactly one attendee ID.
- Attending guests are asked to contribute a minimum of IDR 250,000. Attendees may voluntarily contribute more, and there is no upper limit.
- An event QR/barcode is issued only after the contribution has been verified as paid. No QR is issued before verification.
- Each QR/barcode is unique, permanently linked to one attendee, and can be used to check in only once.
- Resending a confirmation email never creates a new QR/barcode: the same permanent code is re-sent.
- Sharing, duplicating or reselling an attendee QR/barcode is not permitted and may result in refusal of entry.
3. Contributions
- Contributions are voluntary event contributions used to cover venue, food, entertainment and gathering administration.
- The amount actually transferred must be declared when the proof of payment is submitted. The committee compares the declared amount against the uploaded proof of payment.
- Proof of payment may be requested at any time for reconciliation purposes.
- Where a contribution was made in error, please contact the committee — refunds are at the committee's discretion.
4. Personal information we collect
When you register we collect and store:
- your full name;
- your email address;
- your WhatsApp / mobile number;
- your former department or team;
- your current employment or business information (only if you choose to provide it: company name and job title, or business name and location);
- your attendance decision (yes / no);
- payment details — the declared contribution amount, payment status, verification notes and the amount verified; and
- the proof of payment (image or PDF) you upload.
5. Why we use it
- event registration and attendee administration;
- verification of contributions and financial reconciliation;
- event communication, including email invitations;
- WhatsApp event communication and broadcasts (only with your consent);
- attendee check-in and on-site attendance reconciliation;
- gathering-related administration, reporting and archive.
Your contact information will not be used for unrelated commercial marketing, and your data will not be sold, rented or shared with third parties for advertising.
6. Name visibility
Attendees may optionally consent to having their full name and former department appear in the “Latest Confirmed Attendees” section of this website. If you do not tick that consent, your name will not be displayed publicly there. Attendee photos are never displayed in that section.
7. Email and WhatsApp consent
We ask separately for consent to contact you by email and by WhatsApp. You may withdraw consent at any time by contacting the committee; we will then only retain the records we are required to keep for event administration.
8. Payments and proof of payment
Proof of payment files are stored securely and are only accessible to authorised members of the committee (payment verifiers and administrators) for verification purposes. They are not published publicly.
9. Photography and memories
Photos shared in the gathering memory folder, and photos taken at the event, may be used for gathering documentation and shared with attendees. If you do not wish a particular photo of you to be shared, contact the committee and we will remove it.
10. Data retention and security
- Registration data is retained for gathering administration and archive purposes.
- Access to attendee and payment data is restricted to authorised committee users with individual logins.
- Uploads are validated, and payment proof files are not exposed as unrestricted public URLs.
- This site is served over HTTPS.
11. Your choices
You may contact the committee at any time to access, correct or request deletion of your personal information (except where we must retain payment records for reconciliation).
12. Changes
The committee may update this notice; the current version always applies to registrations made through this website.
13. Independent gathering statement
An Evening to Reconnect is a private, independent former-staff gathering. Nothing on this website should be read as implying any sponsorship, endorsement or official association with any bank or employer.
